Technology Woman of the Year Program Lead

Technology Woman of the Year (TWY) Signature Event, Program Lead 

Position Title + Overview

  • The Signature Event Program Lead is responsible for managing the Technology Woman of the Year signature event. This role plans and executes the annual event, including project management, budget, schedule of the event, and delegation of tasks to both the working team and other volunteers. Additionally, this role provides insight during TechRochester strategy sessions and methods of engagement outside of the TWY Awards.

Expected Time Commitment

  • 1 hour – monthly TechRochester Board Meeting
  • Committee meetings, program participation/event attendance as needed
  • Annual planning of the TWY Awards
    • November – December: 1 hour/week. 1 committee meeting / month
    • January – February: 2-3 hours/week. 1 committee meeting every two weeks.
    • March – April: 3-5 hours/week. 1 committee meeting every two weeks.


  • Role-Specific
    • Event Planning and Execution: 
      • Oversee all aspects of event planning and execution, ensuring the event aligns with its goals and objectives. Manage timelines, budgets, and schedules to ensure the event runs smoothly and efficiently.
      • Recruit, lead, and coordinate the TWY committee. Delegate responsibilities effectively to ensure all aspects of the event are covered. Schedule and lead regular committee meetings to track progress and address any issues.
      • Identify, secure, and manage relationships with all necessary vendors, including venue, catering, video production, and marketing.
      • Coordinate with the marketing team to create a comprehensive marketing strategy including promotional materials, manage social media campaigns, and engage with media outlets.
      • Manage communications with nominees and finalists, ensuring they are informed and engaged throughout the process. Recruit and coordinate a panel of judges with relevant expertise. Develop and oversee the judging criteria and process to ensure a fair and transparent selection of winners.
      • Identify potential sponsors and develop sponsorship packages that offer value to both the event and the sponsors. Manage relationships with sponsors, ensuring their needs are met and they are kept informed of event progress.
      • Conduct post-event analysis to assess the event’s success and identify areas for improvement. Gather feedback from attendees, sponsors, nominees, and committee members to inform future events.
      • Maintain open and effective communication with all stakeholders, including sponsors, vendors, committee members, and participants. Provide program updates to the Executive Leadership Team and/or Board (monthly).
    • Foster and engage the community (TR board members, corporate partners, individual members, and volunteers) to support/promote the TWY Awards throughout the year
    • Contribute to other programs, projects, and/or events as needed


      • Identify at least one (1) prospective corporate member/sponsor/partner and work with Director of Corporate Membership & Volunteers to advance
      • Actively participate in-person all TechRochester monthly board meetings and strategy retreat (August)
      • Prepare and submit any program proposals to leadership team 8-12 weeks before occurrence 
      • Support recruitment and renewal of existing members/sponsors/partners as needed
      • Provide expert insight/guidance on tech trends, topics, and happenings in Rochester and beyond
      • Attend all signature TechRochester events (Tech Woman of the Year and the GREAT Awards), as well as others throughout the year, to support fellow board members
      • Provide input and feedback to board, member, and partner inquiries in a timely fashion

Community Engagement

  • Serve as positive and enthusiastic ambassador for TechRochester
    • Advocate for TechRochester in other community groups/organizations to which you belong
    • Seek potential opportunities for collaboration and provide updates to ELT to share with the Board
    • Attend at least one community event (outside of TechRochester) per quarter

Required and Preferred Skills

  • Must have experience in project management and/or event planning
  • Strong leadership skills and demonstrated ability to perform on a high performing working team
  • Additional Preferred Experience: public speaking; business development and/or community management
